Writing Nexus ("we", "our", or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our service.

2. Information We Collect

2.1 Information You Provide

  • Account Information: Name, email address, password
  • Payment Information: Billing details (processed securely through Stripe)
  • Content: Your manuscripts, character profiles, notes, and story data
  • Communications: Messages you send us for support

2.2 Automatically Collected Information

  • Usage Data: Pages visited, features used, time spent
  • Device Information: Browser type, operating system, IP address
  • Cookies: Session data and preferences

3. How We Use Your Information

  • Provide Service: Enable core features and functionality
  • Improve Product: Analyze usage to enhance features
  • Communication: Send updates, support responses, and notifications
  • AI Features: Process your content for AI coaching and suggestions (only when you explicitly use AI features)
  • Security: Detect and prevent fraud, abuse, or security issues

4. Your Content & Intellectual Property

Important: All content you create (manuscripts, characters, plots, etc.) remains YOUR intellectual property. We claim no ownership or rights to your creative work.

  • We only access your content to provide the service (e.g., display it to you, backup, AI coaching)
  • We never use your manuscripts to train AI models
  • We never sell or share your creative content with third parties
  • You can export or delete your data at any time

5. Data Sharing & Disclosure

We do NOT sell your personal information. We only share data in these limited circumstances:

  • Service Providers: Hosting (AWS/DigitalOcean), payment processing (Stripe), AI services (OpenAI, Anthropic) - all under strict data protection agreements
  • Legal Requirements: If required by law, court order, or to protect our legal rights
  • Business Transfer: In case of merger or acquisition (you will be notified)
  • With Your Consent: If you explicitly authorize sharing (e.g., collaboration features)

6. AI & Third-Party Services

Writing Nexus uses one of two AI providers (OpenAI or Anthropic) to power AI features such as Nexa, our story coach. The active provider is selected by the platform administrator, and only the selected provider receives your prompts.

  • OpenAI API: When OpenAI is the active provider, the prompts you send to AI features (and the relevant story context they include) are transmitted to OpenAI for processing. Per OpenAI's API terms, data submitted via the API is not used to train OpenAI's models.
  • Anthropic API (Claude): When Anthropic is the active provider, the prompts you send to AI features (and the relevant story context they include) are transmitted to Anthropic for processing. Per Anthropic's commercial API terms, inputs and outputs submitted via the API are not used to train Anthropic's models.
  • Image Generation (DALL·E): Certain image generation features (e.g., AI-generated blog featured images) always use OpenAI, independent of the chat provider setting. Per OpenAI's API terms, data submitted via the API is not used to train OpenAI's models.
  • Stripe: Payment processing. They receive billing information but not your manuscripts.
  • Cloud Hosting: Your data is securely stored on trusted cloud infrastructure.

Summary: Whether your AI requests are processed by OpenAI or Anthropic, neither provider uses your inputs or the generated outputs to train their models when accessed through their commercial APIs as we do. We never use your manuscripts or planning answers to train any AI model.

7. Data Security

  • Industry-standard encryption (TLS/SSL) for data in transit
  • Encrypted storage for data at rest
  • Regular security audits and updates
  • Access controls and authentication requirements
  • Automatic backups to prevent data loss

8. Your Rights

You have the right to:

  • Access: Request a copy of your personal data
  • Correction: Update inaccurate information
  • Deletion: Request deletion of your account and data
  • Export: Download your content in portable formats
  • Opt-Out: Unsubscribe from marketing emails
  • Restriction: Limit how we process your data

9. Data Retention

  • Active Accounts: Data retained as long as your account is active
  • Deleted Accounts: Data deleted within 30 days (backups within 90 days)
  • Legal Requirements: Some data retained longer for compliance (e.g., billing records)

10. Cookies & Tracking

We use cookies for:

  • Essential: Authentication, security, core functionality
  • Preferences: Remember your settings and choices
  • Analytics: Understand usage patterns (anonymized)

You can disable cookies in your browser, but some features may not work properly.

11. Children's Privacy

Our service is not intended for users under 13. We do not knowingly collect information from children. If we discover we have collected data from a child, we will delete it immediately.

12. International Users

Our servers are located in the United States. If you access our service from outside the US, your data will be transferred to and processed in the US.

13. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes via email or in-app notification. Continued use after changes constitutes acceptance.
